Email Survey Invitations is a different method of distributing surveys via email. This article will outline the steps needed to distribute surveys via email.

Email Survey Invitations Setup

Navigate to the Projects folder and select the survey project you wish to distribute via email.

Within the survey Distributions tab select the email channel. Survey Invitations can be designed in either simple or advanced mode! Simple mode is easy to design, requiring just a subject and message body to get started. Advanced mode has more features allowing visual design changes!

Click on Get Started to begin. You will be presented with a menu where you can specify if you want to work in Simple Mode or Advanced Mode.

Simple Mode

You will see the Subject line for your email. This will be displayed as the subject line when your customer receives this email so make it relevant to your survey. The Message field will be the body of your email where you may add your custom content.

Survey Invitations can be customized according to your brand and personalized using placeholders, resulting in email communications that properly represent your organization.

Advanced Mode

When selecting advanced mode from the drop down and clicking continue several options would be presented to either use a pre-defined template for email or create your own from scratch.

For the purpose of this article, we will use the pre-formatted templates and modify them as needed. Click on Start Designing to begin.

You will see the Subject line for your email at the top of this panel, this will be displayed as the subject line when your customer receives this email so make it relevant to your survey.

Below that you will see the outline of your email. You can click and modify every aspect of this template. You can switch between desktop and mobile views, update the logo and images, modify the text and their containers, as well as modify the buttons to send to your survey link. You have the full ability to customize your email template so it matches your brand standards.

Once you have the look and feel of your email template you will want to ensure your survey is linked properly using the Take the Survey button. Click on the button and you will see the options to add an action. Click on the dropdown and select the Email Channel for your selected survey. This will link the correct survey to the button in your email and allow your customers to leave feedback and sync the recipient of the emails as contacts in our system.

Once done making the changes to your template, click on the Save button.

Email Tracking

After setup survey invitations can be tracked through their entire life cycle. View the status of an individual invitation as it progresses from being scheduled through to being opened and completed. Additionally, Survey Invitations allow you to gain insight into specific recipients to better understand how they interacted with your outgoing surveys.

The status filter affects the information displayed in the invitation table and has the following options:

  • All (Display all email invitations no matter the status)

  • Scheduled (Display email invitations that are scheduled to be sent)

  • Sent (Display email invitations that are already been sent)

  • Delivered (Display email invitations that are delivered to the recepient)

  • Failed (Display email invitations that have failed delivery to the recipient)

  • Cancelled (Display email invitations that had been cancelled prior to be sent)

  • Opened (Display email invitations that had been opened by the recipient)

  • Clicked (Display email invitations where the recipient clicked on the survey link)

  • Completed (Display email invitations where the recipient had completed the survey)
